This position is considered remote, up to 1 day in the office at 10 Brookline Place, Brookline, MA each week. DFCI guidelines state that employees must reside within New England: Connecticut, Maine, Massachusetts, New Hampshire, Rhode Island, or Vermont.
GENERAL SUMMARY:
The Assistant plays a major role in supporting the event logistics of the Boston Marathon® Jimmy Fund Walk. This position provides administrative support and is responsible for assisting the Senior Associate Director (Logistics), the Senior Associate Director II (Marketing), and the entire Boston Marathon Jimmy Fund Walk team in executing a world-class event and reaching financial goals. Responsible for assisting the entire Division with reaching financial goals.

Dana-Farber is pursuing an ambitious, multi-year fundraising effort to change the future of cancer research and care: The Dana-Farber Campaign. This $2 billion campaign is the largest in the Institute’s history and one of the largest ever in the U.S. focused solely on cancer. Responsibilities
PRIMARY DUTIES AND RESPONSIBILITIES:
- Event logistics:
- Maintain inventory of all Walk event supplies & merchandise
- Work with Mail House on inventory management and distribution as applicable
- Oversee Walk weekend packing & supplies
- Assume major responsibilities/a leadership role regarding set-up and logistics on event weekend
- Maintain inventory of all Walk event supplies & merchandise
- Information Systems & Digital Marketing Support:
- Develop an advanced knowledge of Luminate Online, ClearView, Better Impact, and EMS software systems
- Participate in Jimmy Fund Walk website build and monitor ongoing performance of site and all Facebook Fundraisers
- Communicate website issues and requests to IS through internal ticket system and track progress
- Fiscal & Regulatory Management support:
- Support team’s budget by processing all vendor invoices, creating and tracking purchase orders, and maintaining and tracking team expenses
- Act as primary Walk contact for handling Jimmy Fund mail (both remote and on site) & processing gifts and acknowledgements
- Reporting & Analysis:
- Create, produce, and distribute reports in excel to track fundraising and participation progress, including
- Participant Support:
- Respond to participant calls and emails through the Boston Marathon Jimmy Fund Walk phone line & inbox
- Assist with registration of Walk participants
- Fulfill requests for printed materials and other Walk collateral from participants
- Administrative support:
- Primary support of Senior Associate Director, Logistics and Senior Associate Director II, Marketing and Communications including but not limited to
- Schedule meetings and take meeting minutes as required
- Reconcile p-cards monthly
- Track email statistics
- Assist with uploads in Clearview database
- Assist in the maintenance of all event records and files
- Provide regular support for front desk and related duties as requested
- Other duties as assigned
- Primary support of Senior Associate Director, Logistics and Senior Associate Director II, Marketing and Communications including but not limited to
- Participate in at least one other organization’s event.
SUPERVISORY RESPONSIBILITIES:
Reports to the Senior Associate Director, Logistics, Boston Marathon Jimmy Fund Walk and the Senior Associate Director II, Marketing, Boston Marathon Jimmy Fund Walk. Major decision-making authority comes from direct supervisors, however, independent decision-making on day-to-day tasks and good judgment is required for dealing with participants, volunteers, donors, interns, etc.
Qualifications
MINIMUM JOB QUALIFICATIONS:
Associate degree and/or administrative training degree required, Bachelor’s degree preferred. 0-2 years of administrative or event experience.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Strong written and verbal communications skills are necessary with a strong orientation to customer service. Superior organizational skills and ability to manage a variety of projects are key. Solid computer skills and competency in Microsoft Office Suite products is absolutely necessary. Overtime and weekend work required.
This position will evaluate current programs and create and execute approved plans to expand and diversify the donors and participants for the events assigned in order to broaden our donor base and create even more inclusive events. Experience with diverse donors is a plus.
